Role Overview
The Office Manager ensures the smooth and professional operation of front-desk and office activities. This role manages incoming communications, welcomes visitors, coordinates administrative and logistical tasks, and supports the management team in daily organizational matters. It plays a key role in maintaining Silanos’ professional image and ensuring an efficient, well-organized office environment.
Key Responsibilities
Reception and Communication
- Handle incoming phone calls professionally, providing assistance or redirecting to the appropriate department.
- Coordinate callbacks and follow up on pending communications.
- Manage incoming and outgoing correspondence, including mail, parcels, and documents.
Visitor Management
- Welcome and assist visitors, ensuring a courteous and professional first impression.
- Offer refreshments and prepare meeting rooms.
- Maintain visitor logs and manage access when needed.
Office and Administrative Support
- Monitor and maintain office supplies, beverages, and stationery.
- Coordinate travel arrangements (flights, hotels, taxis, logistics).
- Manage service suppliers (office equipment, cleaning, gardening, car pool) and related budgets.
- Support meeting organization and internal coordination.
- Ensure tidiness and order in shared areas.
Internal Coordination
- Facilitate communication between departments and management.
- Support the leadership team with logistical or administrative tasks.
- Liaise with suppliers and service providers for deliveries and maintenance.
Requirements
- Fluent spoken and written English.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office and Outlook.
- Reliability, discretion, and attention to detail.
Preferred Skills
- Knowledge of additional languages (Italian, French, Spanish, or German).
- Previous experience in office management, reception, or administrative roles.
- Familiarity with administrative processes in professional or industrial environments.
